







The experts designed the system to remove the two biggest time sinks: inbound applicant status calls and manual application review. A public-facing chat interface now answers applicant questions, applications route automatically into a spreadsheet and are AI-ranked against the grant criteria, and a drafted award email waits in the inbox for human approval. The operational burden fell from the equivalent of one full-time employee to 0.3 FTEs.
The system was built with Chipp and Zapier, feeding into Google Sheets and Gmail, with no engineering team required. It combined a conversational AI chat interface, process automation (RPA + AI), and AI decision support that scores applications against the foundation's criteria.
Grant administration dropped from 1 FTE to 0.3 FTE, freeing staff to focus on selecting recipients, and a second use case applying the same stack to land title research is projected to save the organization six figures annually.
The whole system was built within a 4–8 week window.
