A mid-size healthcare staffing firm was losing candidates to faster competitors — a 40-person HR team spent the bulk of their day on outbound screening calls, stretching time-to-hire to 15 days per placement. Every day of delay meant qualified candidates accepting other offers, client satisfaction eroding, and the HR team spending zero time on the revenue-generating sales activities the business needed to grow.
Bonsai Labs implemented a voice AI agent for a mid-size healthcare staffing firm to automate initial candidate outreach, qualification screening, and interview scheduling. Operating around the clock, the agent captured structured candidate data and fed it directly into the existing ATS — freeing the 40-person HR team from reactive call volume to focus on relationship-building and business development.
Bonsai Labs started by shadowing the recruiting team to map the call scripts, qualification criteria, and scheduling logic that experienced recruiters applied consistently. These were distilled into the voice agent's decision tree and conversation flows.
The agent was built to handle the full top-of-funnel sequence: outbound call initiation, candidate qualification against role-specific criteria, objection handling for common hesitations, and direct calendar booking for qualified candidates. Structured outputs from each call were written into the ATS automatically, eliminating manual data entry.
A pilot was run on a single requisition type before expanding to the full candidate pool. Recruiter feedback was incorporated to tune qualification thresholds and escalation triggers — cases where the agent handed off to a human mid-call based on candidate signals.
